What this site collects, what the agents process on a customer's behalf, and what you can ask us to do about it.

This policy covers two different things. The first is this website. The second is the service Stomeji runs for a customer once they hire us. What we hold, and why, is not the same in each case.
On this website we run no analytics, no advertising pixels, and no tracking cookies. We do not ask you to create an account and there is no form here that posts to us. The one place you can hand over information is the booking calendar, which is an embedded Calendly widget: the name, email address, phone number, and answers you type there go to Calendly and come back to us as a meeting invitation. Nothing else on the site collects anything about you. Our web host keeps ordinary server logs, including IP addresses, for security and troubleshooting.
In the service, the agents work on inbound and outbound conversations for a customer. That means we process the content of calls, text messages, emails, and web chats, along with the phone numbers, names, and contact details attached to them, and whatever the person in the conversation chooses to say. Some of that is personal information about people who never dealt with us directly. It reaches us because our customer asked us to answer on their behalf.

Website information is used to schedule and prepare for the call you booked, and to answer you afterwards. That is the whole purpose.
Service information is used to do the job the customer hired the agents for: answer the inquiry, qualify it, book the appointment, follow up, and write the result into the customer's own system. We also use it to keep the service working and to investigate a problem when one is reported.
We do not sell personal information, and we do not share it for cross-context behavioural advertising. We do not use a customer's conversation content to train a general-purpose model for anyone else's benefit.
Where we act on a customer's instructions rather than our own, we are the processor and they are the controller. Their own privacy notice governs the relationship with the people they serve, and this policy explains what we do underneath it.

The voice agent can record and transcribe calls. Whether it does is a setting, and the customer chooses it, because recording law is not the same everywhere: some places need only one party to consent and some need every party to consent.
Where recording is switched on, the call opens with a disclosure that the conversation is being recorded, and the caller can decline or ask for a person instead. We build it that way on purpose rather than leaving it to the customer to remember.
Recordings and transcripts belong to the customer. They can hear them, export them, and delete them. If a caller asks for a recording of their own call to be deleted, tell us and we will pass the request to the customer whose line it was and act on their instruction.

Text messaging is consent-based. A customer is responsible for having the right to message the people on their list, and the agents are configured to work from that basis rather than to message strangers.
Every outbound SMS programme the agents run honours the standard stop words. Replying STOP, UNSUBSCRIBE, END, QUIT, or CANCEL ends the messages, the agent confirms it once, and the number is suppressed from that customer's future sends. HELP returns contact information. Suppression is immediate and it is not reversed by a later import of the same list.
The same applies on the other channels. Ask the agent to stop emailing you and it stops; ask to be taken off a follow-up sequence and the sequence ends rather than pausing.
If an agent ever contacts you and you cannot get it to stop, write to us at the address in the Contact section below and we will act on it directly.

Conversation content, recordings, and transcripts are retained for as long as the customer's agreement with us runs, or for the shorter period the customer sets. A customer can ask us to shorten a retention window and we will apply it going forward.
When an agreement ends, the customer can export everything: contacts, conversation history, recordings, transcripts, and the records already written into their own system. We give them a reasonable window to take it, then delete our copies except where we are required to keep something, such as a billing record.
Backups roll off on their own schedule, so a deleted item can persist in a backup for a short period after it has gone from the live service.

We use a small number of named services to deliver the product, and each one only receives what it needs to do its part.
Calendly handles the booking calendar on this site and holds what you type into it. Twilio carries voice calls and SMS. WhatsApp Business carries WhatsApp conversations. Email runs over the customer's own mail provider by SMTP and IMAP. Google Calendar and Outlook Calendar receive the appointments the agents book. PayPal handles hosted checkout and pay links where a customer switches payments on, and card details go to PayPal directly and never pass through us.
Beyond those, the agents read from and write to whatever property management system, CRM, or other tool the customer connects, using that tool's own API or a webhook. Those systems are the customer's, not ours.
We also use ordinary infrastructure to run the site and the service, including hosting and error reporting. We do not add a subprocessor that touches customer conversation content without telling affected customers first.
Stomeji does not hold third-party security certifications, and we say so on the site rather than implying otherwise here.

You can ask us what we hold about you, ask for a copy of it, ask us to correct it, or ask us to delete it. Write to the address below and we will respond within a reasonable time and at no charge for a first request.
Where the information reached us because a customer asked us to answer on their behalf, we will forward your request to that customer and act on their instruction, because the decision is theirs to make rather than ours. We will tell you that we have done so.
Depending on where you live, you may have specific rights under laws such as the California Consumer Privacy Act or the GDPR, including the right to opt out of sale or sharing. We do not sell or share personal information in the sense those laws use, and we will not treat you differently for exercising any right you have.
This service is for businesses. It is not directed at children and we do not knowingly collect information from them.
